Getting Started: Prepping Your Account (For Admins)

Welcome to AppFollow! We're so glad you're here. 👋

Setting up a new tool or product for your team can be a daunting experience, and we know it. We've created this guide to take the guesswork out of the steps you need to follow when you're getting started with AppFollow. This article will give you the tools you need to prepare your account and set your team up for success.

Each step contains a link to a more detailed help center article. We encourage you to use these additional resources while working through this guide. Whenever you're done with a step, just come back here and continue from wherever you left off.

Creating an Account

To get started, just click Sign up on the AppFollow homepage.

If you still need to review our plans and options, you can create an account directly from our pricing page:

  1. Review the available AppFollow plans on our Pricing & Plans page.
  2. Select the number of apps you want to add.
  3. Click on Start 10-day free trial to get started.

Updating Your Plan

Some AppFollow features are available as add-ons or may be part of a plan different from the one you initially chose.

If a feature is unavailable in your account, you'll see a splash screen inviting you to request a trial of the feature. Click the request button to enable the trial or get in touch with your account manager.

If you need to update your subscription, change your billing settings, or find out who your account manager is, you'll find this information on the Subscriptions page of your account settings.

Adding Apps and Workspaces

Your AppFollow account comes with a pre-created first workspace. When you add an app to your AppFollow workspace, you get access to the app's reviews, ratings, rankings, and store stats. You can either work with your own apps directly from AppFollow or add your competitors' apps to monitor changes to their stats. The app type you choose depends on how much information you want to see about the app.

When you add an app, click on "Add to Favorite" to get quick access to the app in dashboards and to include it in Semantic Analysis reports. You can also mark apps as favorites in the My Apps collection.

Apps live within workspaces; you'll find a list of your workspaces at the top of the left-hand navigation menu. If you want to build separate workflows within AppFollow, you can create as many workspaces as you need. Some popular use cases include separating workspaces by country or team.

If you're using a single workspace to track data from all countries where your app is available, make sure the workspace is set to Worldwide. You can check this by clicking on the gear icon next to the name of the workspace. Within each workspace, we collect data only for the countries from these settings.

Connecting Your Apps to the Developer Console

Some data and actions are available only to app developers. For example, only an authorized developer can respond to app reviews and view revenue and subscription data.

To prepare your account for team members who will be responding to reviews or digging into organic traffic metrics, check out the following integrations and make sure they're set up before you start working with your apps.

You can add and edit your account's integrations from the Integrations List section in the left-hand navigation panel.

Although we include a link to the App Store Connect instructions multiple times in the following sections, it's sufficient to set it up just once. The resulting integrations will depend on the user roles and permissions you grant in the App Store Connect console.

  • Reply to Reviews Integration

For support managers, agents, and developers who plan on replying to app reviews.

The Reply to Reviews integration allows you to reply to your app's reviews without leaving AppFollow. This is a prerequisite to transferring your support efforts to AppFollow, and it's also the first step to automating your response strategy or connecting AppFollow to your helpdesk.

It's possible to reply to reviews from the App Store, Google Play Console, and Microsoft. To set up the integration for these stores, follow the guides below:

    1. In AppFollow, open the “Integrations List” section in the left-hand navigation panel.
    2. Select the app you want to integrate from the dropdown list at the top of the view.
    3. On the App Store Connect card, click “+Add Integration.”
    4. Follow the instructions on the screen:
    5. Sign in to App Store Connect and navigate to the Users and Access section.
    6. Click the “+” button at the top of the user list. Users can be invited by Account Holder, Admin, or App Manager in App Store Connect.

    7. Enter the following details:
      • First name: AppFollow
      • Last name: Connect
      • Email: Find the integration email address in the App Store Connect integration setup window in AppFollow. If you’re unsure, send a message to our Support Team.
    8. Check the boxes next to the following roles to set up an all-in-one integration.
      • Customer Support
      • Finance
      • Marketing

    9. Click “Invite.” 
    10. In AppFollow, check the box next to “I’ve invited AppFollow to my App Store Connect account.”
    11. Click “Add integration.”
  • The Google Play Reply to Reviews integration consists of two steps, and you may need some help from your Google Play Developer account owner. To make sure the setup process goes smoothly, check out our guide on Google Play: Reply to Reviews Integration.

  • Before getting started with the Microsoft Console integration, make sure that your organization has an Azure Active Directory and you have Global administrator permissions for the directory. When you're ready, head over to our detailed guide on how to set up the Microsoft Console Integration.

  • ASO Report (App Analytics) Integration

Get access to app downloads, traffic channels, and day-by-day Google Play ratings.

Use this integration to get deeper insights into your app analytics. We'll show you detailed breakdowns of your app's traffic in the Traffic Channels Analytics section, downloads per keyword on the Keyword Intelligence page, and incremental Google Play ratings on the Rating Chart.

Set it up for:

    1. Open your Google Play Console.
    2. Open the "Users and permissions" section and click "Invite New User":
    3. Enter appfollow.io@gamail.com and set the permissions to "View app information and download bulk reports (read-only)."
    4. Click "Invite User":

    Now you're ready to set up the integration in AppFollow:

    1. In your AppFollow account, open the “Integrations List” page from the left-hand navigation panel.
    2. Click "+Add New Integration" in the top right corner of the view. 
    3. Choose an app and click “+Add Integration” on the Google Play Console card:

    4. Switch to the “ASO Report” tab.
    5. Check the box to confirm that you've invited appfollow.io@gamail.com to your Google Play account.
    6. Enter your Account ID. To find your Account ID, open the Google Play Settings section and select "Account details." You'll see your Developer ID: 

    7. Click "Copy ID" and paste it into the integration pop-up window in AppFollow.
    8. Click "Add Integration":

    9. You're done! Wait a bit for the data to sync, and you'll see all your analytics data on a beautiful chart.
  • Sales Report Integration

This integration goes hand in hand with the App Analytics integration and provides you with information about your app's revenue.

Use this information to learn about your app's sales stats on the Downloads & Revenue page and the Subscriptions Report.

    1. In your AppFollow account, open the “Integrations List” page from the left-hand navigation panel.
    2. Click "+Add New Integration" in the top right corner of the view. 
    3. Choose an app and click “+Add Integration” on the Google Play Console card.
    4. In the pop-up window, switch to the "Sales Report" tab. You’ll be asked to enter your Developer ID from the Google Play Console and a unique authorization code.
    5. To find your Developer ID: open a new tab in your browser and log in to the Google Play Console.
    6. In the side menu, open Download reports -> Statistics.
    7. Click "Copy Cloud Storage URI."

      The Cloud Storage URI has this format: gs://pubsite_prod_rev_11458896072533194086/stats/installs/

      For the integration settings, you need to use the digits only.

    8. Go back to the AppFollow Integrations List and paste these digits into the Developer ID field in the integration settings pop-up window.
    9. To get the authorization code: click on "Get this code here" and sign in to the Google Account. Allow GSUtil to access your Google Account. Copy the code, go back to AppFollow and paste it into the "Enter code" field.

      The Google Account that you use to get the code should have the following permissions:
      - View app information and download bulk reports (read-only);    
      - View financial data, orders, and cancellation survey responses.

      The Owner or the Admin of the Google Developer account can check and manage user permissions in the Google Play Console. Check the permissions settings, log in to the Google Play Console as an Owner or Admin, and go to Settings -> Users & permissions.

    10. Click "Add integration."

Connecting Your Third-Party Tools

The modern workplace consists of several interconnected tools to help your team be as productive as possible. AppFollow brings your data to the tools you use every day, allowing you to maximize your app management potential.

  • Tableau is one of the most popular BI dashboards for data analysis and visualization. We offer a secure and easy way to gather all the data from AppFollow, like Downloads & Revenue and Reviews, and transfer it in Tableau.

  • AppFollow provides you with all the tools you need to work with reviews without leaving the workspace. However, you may need to bring reviews to your Support team's workspace. Set up a native or email integration to integrate reviews into your Support workflow.

  • Smart Alerts provide you with a flexible, all-in-one tool to set up reports or notifications about changes or certain events from any section of the product. Smart Alerts are delivered to Slack, Telegram, and to your email inbox.

  • Use our Zapier Integration to create customizable integrations through "Zaps", which can be set up in minutes and without any coding skills. Use Zaps to automate your day-to-day tasks and build workflows between apps that otherwise wouldn't be possible.

  • The AppFollow API helps you build custom apps and reply to reviews, follow keywords and ranking changes, and track app updates no matter what tools you use. The API has ready-made methods that you can use to quickly access all your data.

Inviting Your Team

Congratulations! You've prepared your account, and it looks fantastic. Now everything is up and running, so you're ready to invite your Support, Product, Marketing, and ASO teams.

  1. Open the Team Members page.
  2. Click Add New Member.
  3. Fill in the required fields.
  4. Choose a User Role.
  5. Save your changes and wait for your team to join you in AppFollow.
